Columbia Concert Band Board Meeting Minutes – Jan. 05, 2004

The meeting began at 9:13 PM.

President’s report:

Roger reported that he has the new grant application from the Columbia Foundation which is due Feb. 6, 2004.  Roger and Maurice will prepare the grant together.  It is a matching grant and as such we can ask for between $2000.00 and $3000.00 as long as we collect enough matching funds to support our request.

Treasurer’s report:

Maurice distributed copies of the Treasurer’s Report.  For the period dated December 8, 2003 to January 5, 2004 we had a total income of $1176.00 and total expenses of $292.36.

Issues raised and discussed:

Rehearsal Space  -

Due to the current size of CCB, we are a little tight in the Hammond Middle School Band Room.  Mike is very aware of this issue and sensitive to the concerns of our members.  As such, he has put out a request to all of the High School Band Directors inquiring as to their willingness to host our band on Monday nights.  As of the board meeting, he has received three positive responses -Oakland Mills, Hammond HS and River Hill HS.  Mike will continue to pursue this issue in the quest for a more comfortable space.  Stay tuned.

Maryland Community Band Day - July 31, 2004

Begin having bands play at noon or 1 PM, with the last band going on stage at 8 PM.

Possible bands to invite:

Rockville, Olney, Montgomery Village, Bay Winds, Bel Air, Baltimore Symphonic, Southern MD, and CCB.  Maurice has a contact list of people for these bands.

Scott, our equipment manager, will provide information to Roger on what equipment CCB can provide for use by all the bands that day and then Roger will send a letter to the bands telling them what we can provide regarding equipment and what they will have to provide on their own.

We are hosting this event and as such we need to set up committees.  The following committees were suggested but may not be all inclusive:

  1. Hospitality/refreshments ( arrange for a suite at the Rouse Building and assemble food and drinks)
  2. Stage set up/ Site logistics( changing stage for each band)
  3. Communications ( providing information/answering questions for participating bands)
  4. Publicity/Marketing
  5. Programs ( we may need to find a sponsor to help with printing costs)
  6. Amplification for the day/ arranging for someone to record the bands

This day will require a significant effort from our band members to make it successful.  It should be fun especially if the weather is nice.  Please be willing to volunteer to help.

Concert Programs and Publicity

Mark Romanoff has volunteered to work with Sue Hassell on the concert programs.  Thank you, Mark.  Sue will continue to work on publicity.  We have two major upcoming events: Our spring concert on June 6th and Maryland Community Band Day on July 31st.  Sue will submit information to the Columbia Magazine which requires three months notice and will continue to use the local media for advertising.  We would like to improve attendance at our events, if anyone has any suggestions please pass them onto Sue or to Jodi simply by responding to this email.

Old Business

Mike sent an email to James Houlik, our visiting artist for the spring concert, addressing Maurice’s concerns from the last meeting and has not received a response as yet.

Meeting Adjourned -  9:40 PM
